Terms and Conditions

September Online Group Terms and Conditions
Valid for Weekly Online 11+ Groups from September 2026

These terms apply to all weekly online group tuition provided by Tuition with Emma C.

 

1. Registration and Agreement

  • A completed registration form is required before a child can attend sessions.

  • By completing the registration form, the parent or guardian agrees to these terms and conditions.

  • Places are limited and allocated on a first-come, first-served basis.

 

2. Booking and Payment

Group Fees

  • Year 4 11+ Foundations: £20 per 1-hour session

  • Year 5 11+ Preparation: £22 per 1 hour 15 minute session

 

Invoicing and Payment

  • Sessions are invoiced in advance on a half-termly basis.

  • Payment is required by the date stated on the invoice in order to secure your child’s place in the group.

  • Persistent late payment may result in the place being withdrawn and offered to another student.

3. Group Structure

  • Sessions run during school term-time only.

  • Groups are designed to remain relatively small to support interaction and participation.

  • Group sizes may vary, with an absolute maximum of 8 pupils.

 

4. Cancellations and Missed Sessions

 

  • If your child is unable to attend a session, please notify the tutor as soon as possible.

  • Missed sessions are non-refundable and cannot usually be transferred.

5. Online Session Expectations

  • Sessions are delivered online via Pencil Spaces.

  • Students should join sessions on time and ready to participate.

  • A working microphone is required. A camera is encouraged where possible.

  • Children should work in a quiet, suitable environment with minimal distractions.

  • Parents are welcome to remain nearby if needed but sessions are designed to encourage independent participation.

  • Sessions must not be recorded.

6. Behaviour and Conduct

  • Students are expected to behave respectfully and engage positively throughout the session.

  • If a child’s behaviour is consistently disruptive or inappropriate, the tutor reserves the right to withdraw the student from the group.

 

7. Communication and Feedback

  • Weekly session summaries, homework tasks and follow-up resources will be shared via Google Classroom.

  • Parents will receive an individual progress update approximately once per half-term.

  • Parents are welcome to request a brief phone call each half-term if they would like to discuss their child’s progress in more detail.

  • Communication should take place via email, text or WhatsApp.

  • Replies will usually be sent during working hours (Monday–Friday, 9am–8pm).

8. Tutor Absence

  • If the tutor has a planned absence, as much notice as possible will be given. The cancelled session will not be charged or will be credited towards the following invoice, depending on when notice is given.

  • In the event of unexpected tutor illness or unforeseen circumstances, an alternative session, credit or refund may be offered where appropriate.

9. Ending Group Tuition

  • Half-termly bookings are non-refundable once the block has begun.

  • A minimum of two weeks’ notice is required to withdraw from future group sessions.

10. GDPR and Privacy Policy

By completing the registration form, parents consent to the storage and use of information required for tuition, communication and invoicing purposes, in line with Tuition With Emma C’s GDPR and Privacy Policy.
